THE STORY AT A GLANCE

What you need to know

  • Set freshness requirements by source type and question.
  • Carry ownership, revision, and access metadata into the index.
  • Test source conflicts and deletion behavior.

Freshness depends on the question

Retrieval augmented generation supplies a model with external information at answer time. That information may be a carefully maintained policy, a cached export, or an old presentation nobody owns. Grounding an answer in retrieved text helps a reader inspect its basis. It does not establish that the text is the right authority for today's question.

A useful freshness contract specifies how quickly a source must reflect a change. A product availability answer might require a live operational lookup. An architectural explainer may be well served by an approved document reviewed periodically. Apply those expectations to individual content types instead of treating every indexed file as equally current.

Preserve context through ingestion

Store a source identifier, owner, revision, effective date, ingestion time, and access policy alongside each searchable passage. An update should replace or supersede the relevant material predictably. A deletion needs to propagate through caches and indexes, too. Otherwise a retired policy can remain available long after its original file disappears.

Test conflicting evidence explicitly. Ask the system about a policy that changed and give it both revisions. Evaluate whether it identifies the effective source, explains uncertainty, and avoids presenting the older answer as settled. Retrieval quality is a property of the source lifecycle as well as the ranking algorithm.

Test retrieval separately from generation

Inspect whether the correct source appears in the retrieved results before adjusting the model prompt. Hybrid search combines lexical and vector retrieval, offering different ways to match an exact product code and a loosely phrased question. Elastic's documentation describes merging those result lists. Whatever method you select, measure its usefulness on your own query set. Then check whether the generated answer accurately represents the retrieved evidence and cites a source the user is allowed to open.
